Crown Estate Scotland has an exciting opportunity for a Business Support Assistant to join our team on a permanent fulltime basis.

About the role 

To provide support to colleagues across the business whilst developing skills in business administration. The role covers front of house, hospitality, facilities and ad hoc administrative duties as required. The Business Support Assistant is the first point of contact for all visitors.

The successful candidate/s for this new role within the organisation will be responsible for:  

  •  Supporting the delivery of an effective Business Support function
  •  Carrying out reception duties, including answering telephone calls and greeting visitors.
  • Making the office a welcoming environment for staff and visitors, ensuring meeting rooms are set up (including IT set up) as required, kept tidy and presentable, and cleared down after meetings and at the end of each day.
  • Assisting the Business Support Manager and Assistant Office Manager in providing administrative support to the business, including arranging meetings, booking catering, arranging travel and accommodation.
  • Being responsible for outgoing mail and processing and delivery of incoming mail.
  • Preparing orders for office supplies and stationery.
  • Assisting the Business Support Manager and Assistant Office Manager to keep accurate Health and Safety compliance records.
  • Ensuring visitors are offered refreshments, signed in, advised of location of facilities etc.
  • Responsible for ensuring the office is presentable, tidy and well maintained. Liaising with external suppliers when necessary (cleaning company etc).
  • Responsible for ensuring that kitchen areas are presentable, well maintained and fridges and cupboards regularly cleared and cleaned. Ensuring recycling is separated and sorted.
  • Arranging courier services for colleagues when required.
  • Maintaining stationery and general office supplies – conducting regular stock checks

 

 The contractual working location of this role is our Edinburgh office.  However, we believe work is something you do, not a place you go to, and we are committed to supporting employees to work flexibly and in a way that suits their role and preferences.   

The starting salary will be £25,775 with potential for future progression as well as eligibility of annual cost of living rises.  The maximum salary for this role is currently £28,959.  The role also benefits from 25 days’ annual leave, increasing to 30 days after four years’ service, plus 11.5 of public/ privilege days.  Crown Estate Scotland encourage flexible working and operate a discretionary flexi-time scheme.  This role offers participation in the Civil Service pension scheme.

About You 

You should:  

  • Have excellent IT skills across Microsoft Office, especially Excel, Word, PowerPoint, Microsoft Teams and SharePoint.
  • Have strong customer service skills.
  • Have relevant business qualification or experience
